What’s new
The new training provider portal includes features that make managing your training courses simpler and more efficient. Upgrades include:
- single sign-on – use one login for all your IOSH systems
- better search and tracking – find courses quickly and monitor your document inventory at a glance
- flexible document options – mix and match hardcopy and digital documents for each delegate (if registered for digital)
- enhanced delegate management – add, edit and delete delegates easily before your course starts
- cloud storage – upload and share your licence documents securely
- visible credit information – see your credit limit and balance instantly.

Review document requirements
Go through the checklist on your application or renewal form to be clear on the files you need to upload.

Nominated member sign-off
Your nominated IOSH member must sign the role requirements document.

Upload your files
No need to email documents to us any more. Upload and manage all your documents within the training provider portal’s ‘My Files’ area.

Purchase workbook and certificate credits
Buy digital or hardcopy credits before registering courses to build allocatable stock.

Register training courses before start date
You’ll need to register your training courses at least 24 hours before their start date and have your delegate lists ready in advance.

Can I still email documents instead of uploading them, and what happens if I don’t upload them?
No. All documents must be uploaded directly to your portal profile. If required documents are not uploaded, your IOSH licensed training provider application or renewal may be delayed.

Why do training courses have to be registered before the start date? And what happens after this period?
Registering courses before the start date is for quality assurance and to comply with the recommendation in the training provider agreement.
It ensures delegates receive pre-course information or materials in good time, such as their workbooks, and that courses meet the required training hours.
To accommodate last-minute changes in delegate details, or where details are not available until the course start date:
- face-to-face courses – delegate registration and amendment are open for two weeks after the course end date
- e-learning courses – delegate registration is open until the end date.
After this period, delegate records are locked to protect the integrity of learner data, certificates, and audit trails. This ensures certificates remain correctly linked to the right individual and maintains a clear, reliable record.

What should I do if I need to correct a delegate record after amendment window is closed?
If you need to correct a delegate record after the amendment window has closed, please contact IOSH Support.

Why are first name and last name now required for each delegate?
This improves our records, makes verification more reliable and builds trust. We also require an email address if you want to send digital certificates or workbooks. This ensures the delegate receives their access link to our digital portal. If you're not yet registered to send digital documents, complete our digital portal registration form.

Why has IOSH introduced the collection of learner dates of birth (DOBs)?
Collecting learners’ dates of birth (in DD/MM/YYYY format only) helps IOSH maintain accurate records and protect the integrity of certificates. As many learners share similar names, DOB provides an additional identifier to ensure records, achievements and certificates are linked to the correct individual. This improves data quality, strengthens verification, and supports the credibility of IOSH qualifications.
For Training Providers, this results in fewer duplicate records, greater confidence in certificate accuracy, and more reliable learner tracking throughout the certification journey.

Do Training Providers need to be concerned about GDPR when collecting learner dates of birth (DOB)?
No. Dates of birth are standard personal data commonly used in training, certification, and identity verification. Training Providers should collect this information in line with their data protection practices and privacy notices. IOSH uses DOB solely for legitimate purposes, including learner identification, record management, certificate verification, and maintaining the integrity of training and certification.
IOSH processes all personal data in accordance with applicable data protection laws as stated in Training Provider Agreement and has appropriate safeguards in place to protect it.

How do I apply for a credit account so I can purchase workbooks and certificates on credit?
Download and complete a credit account application form and send it to us.
It can take a few weeks for credit applications to be approved by our finance team, especially if they have queries.

What if my nominated IOSH member changes?
Upload a new signed role requirements document whenever your nominated IOSH member changes.
